The secretarial assistant assists the pastor and office manager in fulfilling parish office needs. The secretarial assistant helps maintain a well-ordered office. The secretarial assistant’s efforts are within the framework of shared ministry in Christian and Catholic values.

Major Position Responsibilities and Regular Activities:

The secretarial assistant assists in the functioning of the parish office in the following areas listed below.

Outreach/Social Justice Ministry:

  • Maintains good working relationships with effective communication between staff, parish, community and others
  • Welcomes and greets people who come into the parish office
  • Answers phone, takes messages and/or refers the caller to the appropriate person

Financial Responsibilities:

  • Serves as a helpful resource to parish organizations in all financial matters from planning to auditing
  • Assists with daily financial matters as needed

Administrative Responsibilities:

  • Assists in maintaining parish offering envelope system by updating data on a regular basis, posting weekly contributions and mailing annual statements as required
  • Attends parish staff meetings as needed, and other meetings when necessary
  • Assists with parish records

Education, Training, Experience:

  • Computer skills needed

  • Good communication skills required

  • Knowledge and understanding of the Catholic Church and its mission required

  • Ability to handle confidential materials a must

Reports to: Pastor

Schedule: At this time, this is a 10-hour per week position
